Folders and signatures
Organise mail into folders, pin favourites, archive, and choose a signature for new mail and replies.
Coming with the new webmail
Folders and signatures arrive with the webmail. Folders you create in a mail app already work everywhere.
Folders
Every mailbox starts with Inbox, Drafts, Sent, Archive, Junk and Trash. You can add your own folders, put folders inside folders, rename them and drag them around. Inbox, Junk and Trash can't be deleted.
- Favourites: pin the folders you use most to the top of the list.
- Archive: one click (or the
ekey) moves a message out of your inbox without deleting it. You can also archive by year, so old mail lands in a folder like Archive / 2026. - Search folders: save a search, such as "unread from family", and it appears as a folder that updates itself.
- Rules: "always move mail from this sender to this folder" runs on the server, so it works in every app.
- Sharing: share a folder with someone in your account, read-only or with full access.
Mail in Junk and Trash is cleaned up automatically after a while. Empty them yourself any time.
Folders in mail apps
Mail apps that use IMAP see your folders. Hide a folder from mail apps with Show in mail apps in the folder menu. POP3 only ever downloads the Inbox: that is how POP3 works. Use IMAP if you want folders on your phone or desktop. Server settings are on the mail app settings page.
Signatures
Today each of your addresses has one plain-text signature, set in the webmail under Settings → Writing. The rest of this section is on its way:
- Create as many signatures as you like, with formatting and small images.
- Choose one for new messages and one for replies and forwards, per address, alias and shared mailbox.
- Images in a signature are attached to the message. Links to images on other websites are not allowed, because they would let the other site see when your mail is read.
On paid plans, an account owner can set signature templates that fill in each person's name and job title, and a disclaimer added to outgoing mail.
Signatures in mail apps
Desktop and phone mail apps keep their own signatures. Set your signature in the app as well. The account disclaimer is added to mail sent from the webmail; mail sent from other apps doesn't include it yet.
